I have a gorgeous clubhouse! The sheer beauty of the places I have been able to work at is one of my favorite things about residential property management.

Before I started in this field, I worked a variety of odd jobs in college and right after college. I worked in ugly cubicles. πŸ™ƒ

I'm budgeted for two clubhouse cleans a month but I stress clean πŸ˜†.

I have been able to keep it to one time a month and I really need it for things I am not capable of keeping up on like cleaning our many windows inside and out, dusting the top shelves and scrubbing spots off the floor (my maintenance guys run a mop for me.)

My last office clean I noticed there are still spots on the floors, dust on the fitness center machines and gross sweat spots on the mirrors. I was irritated, cleaned the missed areas just to have it done but then it occurred to me that this is my fault.

Scope matters....a lot!

Clean the clubhouse. What does this mean?? What does "clean" mean to you? We are all going to have different concepts of that based on how we were raised and visual perception.

My cleaner doesn't have the scope of expectations in writing.

We need a clubhouse cleaning checklist to be completed and turned in with each cleaning to the maintenance supervisor who should check behind the vendor.

I just love to find more work for myself to do. πŸ˜†πŸ« 

For every bit of work you bring a vendor onto your property to complete, you need to ask yourself a bunch of questions.

What needs to be accomplished here in detailed specifics?

It isn't "paint this room." It is "Paint a 600 square foot room with X brand and color paint to the manufacturer's recommended mil of thickness per coat. The application shall be heavy enough to achieve a pleasingly uniform color and lucid effect.

All items affixed to the building walls will be removed before painting (outlet covers, lights, hardware) to avoid paint splatter and reaffixed by the contractor to their original condition upon work completion.

All paint shall be applied with a brush or roller except where permitted by OWNER in writing."

This can clearly get more detailed. When you get a bid for a project, just go to Google and put in scope for fence staining. Scope for home cleaning. Scope for bathroom renovation.

Ask yourself, what can go wrong or be missed that I need to account for in my scope?

Mopping does not get little dirt spots off the floor, only hand scrubbing does. It needs to be added to my scope.

Most vendors do want to meet your expectations but how can they know your quality standard unless you outline it for them?

If you meet a vendor who provides you a detailed scope with their bid 😍😍😍, you have met someone who cares about quality.

If they are also price competitive, you have yourself a golden nugget right there. VENDOR GOLD is how you label this contact in your cell phone.

Time to think like a lawyer and protect your properties by digging into scope.
