We will soon be having our annual resident appreciation event and I've hired 2 food trucks to be on-site in place of the usual caterering company.
This is the first time we've ever done it this way and I'm unsure on how to actually execute it. We will be paying for both the trucks (the residents do not pay), and we've alotted so much per person per truck (we have up to 60 vouchers for one truck, 75 for the second one), and over 100 ppl RSVP'd.
I'd love to hear from someone who has done this type of thing before. Do you give them little coupon/vouchers for each truck (valued at the maximum dollar amount)? Or is there an easier/better way to make sure everyone gets what they want without going over budget?
Great event idea! When I was talking to the Food Truck vendors, they gave me directions on how to handle the event. But it was a much smaller scale - starting with snacks and we gave out vouchers to those who has RSVP'd - they had to come before the event and pick them up. They were told how to redeem them and that worked well.
Being a bit of a culinary TV junkie, I thought Food Trucks would be a nice change of pace. They're so trendy right now and are getting more and more popular every year. I must say that the RSVP's for this event more than doubled the number of residents that came last year with just a standard caterer. The buzz it's creating among our residents is very exciting.
Thanks for the advice about the vouchers. I think that might be the best way to handle it. Keeping my fingers crossed it will go well! I'll let you know.
