Depends on what all services you have with them. Do you use them for your websites? Online leasing? Resident portal? Do you have Yardi CRM or Call Automation? All of the controls for user groups, settings for websites, applications, resident payments, maintenance requests, and the email blast are housed within rentcafe. They also have a social media tool and reputation management built into the rentcafe dashboard.
Rentcafe pulls information from Yardi and acts as a marketing tool. It allows for online leasing, online payments, and a number of other things mentioned above.
For smaller companies go w/ something more boutique. Larger companies that have the pockets, hire the talent and build your own CRM so it's aligned w/ your internal systems. Especially if you are a MicroSoft shop. Sooo many resources to build out this stuff for almost free. Brand everything so it's "yours" and not ghostly image of your brand.
and when you own it, it's YOUR data ( not some nickel and dime garbage every time I need to pull some random report ).
Take ownership of your sandbox and who/what has access to it.
Gracehill / Edge2Learn / Grow are all easy-ish solutions and directly applicable to our industry; come with a ton of prepped e-learning and a nice LMS format to track/report.
There are 2 flavors of rent cafe- 1) it allows residents to view their ledger and pay online and submit maintenance requests and 2) #1 above plus the property site webpages, ILS, SEO...fully integrated with yardi voyager. It’s a great product.
Rent Manager does it all! Resident portal, online payments, online applications and leases, online work orders,accountin, monthly reports, marketing, Bank reconciliation,accounts payable, accounts receivable, everything is integrated into rent manager! Oh and It’s user-friendly and nothing like Yardi!
I always liked rent cafe. We use realpage products at my current company and I found rent cafe to be easier to manage. We used it for websites and resident\prospect portals, and were also testing out the crm product. Any software can have some glitches but overall I found it a lot easier to use than my current product stack.
Tries desperately to have a clunky interface! But actually it does a lot when you learn it. It is the resident portal for payments, work orders, bulletin boards, email blasts, integrates with Yardi really well, even pushes to websites. If I make a demo vid about it I will share.
I've used it for over 4 years. I think it's great. Integrates straight into Yardi. You can do very easy email blasts to residents and online leases and renewals.

Rent Cafe is somewhat useless to the user while being thoroughly intrusive. It is one of the very few apps that can and will do a background check on you. So much for anyone having paid their debt. To society. Gosh don’t ever think for a moment that a landlord would not use any information about a renter… against them!
They are highly arrogant. I was not able to put my credit card data in the website and I was not allowed to talk to any costumer service. My landlords secretary said that this is "their policy" that they dont talk to tenants I say back that it is not very trustworthy when you have to give them sensitive data when they hide in anonymity. . I am very frustrated about that arrogant behavior
