We are having a great conversation at the RoundTable discussion after my Wednesday Webinar on FOCUS. One of the main ideas discussed is the idea of creating a space where uninterrupted work could be done by different staff on a rotating plan with set policies and best practices. I'd love to know what this would look like at your community. IF . . . you could create a WORK ZONE that was protected by the rest of the team for focused work. Where would it be? Who would use it? How long? What would the interruption rules be?
It is so challenging in an apartment office environment. We were trying to give LC time to put files together and APM to do delinquency work and rotated them out of the managers office. It worked well when it happened but folks missed their time because of residents or tours and we didn’t lay down rules which we should have! Plus they were nosey and wanted to see what was going on.

I am currently looking for a new LC. I will definitely implement this idea! I have a small office, just me and 1 LC. The files and filing cabinets are in my office and IT gives us each a profile on both computers, so my "managerial info" is secure when the LC uses my computer. I can give him/her time blocks needed to be "super-productive". 30 minutes/1 hr? What is NEEDED? When that time is allotted, the blinds and door in that office are both closed. Coffe/soda/tea on hand. Shoes kicked off. Get productive! While they are in the "super-zone", I handle all calls, tours, residents, etc. NO INTERRUPTIONS IN THE ZONE. Know this, that extreme productivity is REQUIRED for this to work. No Candy Crush or Net Flix LOL.
There were times I was granted 1 hour OT by my boss just to have some focussed-super-productivity time after the office closed. Some days I got more accomplished in that 1 uninterrupted hour than in 4 hours during the work day. Love this idea!!

We start our day at 9:00 but do not open to the public until 10:00 to give us all an hour to open, prepare for the day, and have focused work time. It’s not a lot of time but does give us each 5 uninterrupted hours every week.
As I was managing 6 properties over 4 states, this was so helpful to do! We would have management in at 8:00, Leasing in at 9:00am and then the doors open 10-6. This gave management the time to prep for her day, then an hour for leasing to come in an hour before the rush of residents or future residents. sometimes we would rotate shcedules so that some LC could come in at 9:00 but her team would not have her leasing until 11:00. Then the other LC would take the two hours at a different time. It sometimes would not be that easy but when it was scheduled, it seemed to be more effective. Also, removing that person from the front line during work hours were helpful. I think there may be even better ways to do this that can make it more on a roatating basis as well. I love learning new ideas.
