Any ideas to assist with site teams GOING GREEN to transition away from physical files including printed apps, approvals, & lease docs? My goal is to reduce any all paper by end of 2022! Any/ALL Feedback is MOST Welcome and very much Appreciated using Yardi Voyager 7s/Rent Cafe/Bluemoon.

We’ve been working on going paperless over the last two years. It’s a long process and has to be done in stages. We require online payment apps and lease renewals.
I just signed a new lease for my apartment, and my daughter is working on one for an apt. in Chicago and everything has been done via something like docusign. Tells me where to sign, initial and date. Very easy and I save the lease to my Google Drive.
I am old school so paperless is completely foreign idea for me. My question is what happens when your internet is down? You can't look up anything? You still have to post 3 days on their doors correct? In houston, notices have to be physically handed to residents with a signed receipt, posted inside the apartment, or posted outside and a copy mailed. There is no way around that. You have to have copies of ledgers, leases. Notices for the judge to file eviction. I hate having to depend on the internet for EVERYTHING! It's a disaster waiting to happen.
Great goal! I've worked at a lot of properties who were paperless. Some tips: 1. Properties use iPad or separate computer from team to apply 2. Contest for properties to increase their online payment adoption (there's a rentcafe report) 3. Contest for residents to pay online 4. Roll out yardi's text to pay and Alexa to pay 5. Make sure your local or state jurisdiction allows for email correspondence and that it's in your lease. Good luck!
You can make a convention to follow and scan and upload those to the residents file. We did things like 02 lease agreement 03 addendums 04 correspondence etc for those with paper docs and then if you have more you can always add a date etc.
