I'm looking for some recommendations/best practices on tracking voucher-holding residents on a fairly small scale. Most of the markets in which we operate have passed source of income legislation in the last few years, and we're still struggling to define our practices as we did not previously accept vouchers. Our portfolio includes roughly 25 communities ranging from ~150-900 units and only about half of them currently have any voucher-holders. Of those, only 3 or 4 communities have 6 or more such residents.
We use RealPage conventional products (affordable at one community only) and would like to track voucher-holders within the software that we already use, primarily OneSite, without adding additional cost unless the payoff is substantial. The purpose of the tracking would be to more easily identify residents for whom additional steps may be needed, such as communication with the HA around a proposed renewal increase or a lease violation, as well as more clarity on whether an account balance is the responsibility of the resident or the HA. We recently polled our team members on how they are keeping track of such residents currently and we received a terrifying number of "I just remember" or "we don't" responses.
