Ask why they are relocating to see if there is anything we can do. Make sure to get a forwarding address. Put an acknowledgement in writing of vacate responsibilities and breakout any final charges that will happen so there are no surprises.

Right after seeing if there is anything I can do to keep them...I look in the system to make sure its a full 60 day notice from when the lease expires.

Issue them a 48 hour notice to enter and schedule an occupied unit walk through. Gives me a chance to see what contractors need to be scheduled for sure and get them going before everyone else gets the prime appointment times.

This is the one thing I’ve always hated about our job. Having lived in many apartments (husband is military) I hated being asked why are you leaving question even though I knew you had to. I always wanted to say none of your business of course I never would. That question and what can we do to make you stay always rubbed me wrong. Like what can you offer to make me stay. I’ve been on both sides. Hated asking those questions and being asked.

I always think of if you were quitting your job you have been at for years and they said “ok give me your forwarding address so we can send your last check”. By asking why they are moving shows you care about them and they are not just another number. I’ve had some people say for personal reasons and that is a good response if you do not want to say.

Asking why I am leaving is not going to show me someone cares. How I was treated while I live there shows me you care. At the leaving point it’s irrelevant and why I’ve never liked the question and when asked most people feel like “oh now you care”. If I was quitting my job and I was valued my boss would offer me a raise to keep me. And no community ever offers to lower your rent to keep you. It’s just question that if they answered…I want upgrades, I want lower rent, I want nicer neighbors. What can be done to change that. Nothing. Lol

Yes, try to save them if can, but put it in your system immediately and send an Official move out letter to them with helpful info and their last charges, of course stating if no damages

We do auto renewals at 60 days... At 90 days we send them notice of renewal which includes our NTV form and new rent amount in 90 days. If they return the NTV it includes reason and new address.

If it's one I want to leave...then I'll just smile, say thank you and remind them to turn in their keys and provide a forwarding address....they were a PITA anyway.
If it's a good resident, then I'll try to find out why and if we could offer something to make them stay.

Whatever day of the week it is, I tell them we do not except notices on the day they bring it in (joking to them of course) and I ask them why they are leaving. Here lately, the resident wants to get a bigger place, or downsize. I have been saving them by transferring them to another apt on property.

Depends. If it is someone we would like to be rid of, but can't prove the lease violation (unauthorized pet or occupant, drugs) or they are just a pain in the butt, well, as soon as the NTV has been officially accepted and uploaded, I buy lunch for the team.
