Management will probably need a very good reason for cancelling the card without a minimum number of follow-ups. When I’m the guest card, look in the top right of the screen. There is an option to click and it will drop additional options. Cancel is one of them. It will bring up a box to select the reason for cancel and type an explanation.

When the profile is open go to the dots in the top right corner. Cancel guest and choose reason. Maybe they are 90 days out? Add notes in the box. You can add a follow up with a date to do so but always record the feedback

Be sure to "Dismiss future appointments" (follow up) when prompted when canceling

Set a follow up for 9 months from now. Might catch them at renewal time
